Transport work is a scheduling problem, not a counter problem.

A car rental desk hands over a key. A van or shuttle operator dispatches a vehicle and a person, usually for a job that was quoted before it was booked, often for a company that will pay on terms rather than at the counter. That changes the shape of the problem entirely: you are not managing availability of vehicles, you are managing availability of vehicle-and-driver pairs against jobs that were priced individually.

This is where most operators lose money quietly. A corporate client books an airport transfer run every Tuesday. A tour operator takes a fourteen-seater for a five-day provincial circuit. Both feel profitable. Neither is measured properly, because the driver's allowance, the fuel, the toll, and the two days the van was in the shop afterwards never got attached to the job. The invoice went out, the money came in, and the true margin was never calculated.

The second issue is coordination. Drivers need to know their assignments without a phone call. Office staff need to know a van is committed before they quote it to someone else. Clients need confirmations and updates that look like they came from a company rather than a personal number. When any of that runs through a group chat, information goes missing at exactly the moments it matters.

A booking carries an assigned driver, and drivers get their own login with a role that shows them their jobs and lets them record handover readings and payments. Drivers use staff seats, so this starts on Pro, which includes two; Suite makes them unlimited.

Multi-day charters on one calendar

A five-day provincial run and a two-hour transfer sit on the same colour-coded calendar. Conflicts are flagged as you book, and tentative holds cover the gap between quoting a client and getting their confirmation.

Corporate clients as repeat accounts

Customer profiles carry booking history, so a company that books weekly is one record with a track record rather than forty disconnected jobs. Invoices and receipts, in a document design you can edit for your own branding, come with Pro and Suite.

Trip costs attached to the trip

Expense tracking ties driver allowances, fuel, and tolls to the booking they belong to, and cash accounts let you track float given to drivers rather than discovering the gap at month end. Both are Pro and Suite features — the free plan does not include expenses.

Because revenue and expenses both attach to the job, the custom report builder on Pro and Suite lets you build and save the views you care about, and the vehicle performance list ranks your fleet rather than giving you one total.

Payment tracking with an approval step suits clients who settle after the job rather than before it, and it is included on every plan. On Suite you can also issue payment links through your own gateway so settlement records itself against the booking.

    Create a tentative hold against the specific vehicle while the client approves the price, so nobody else quotes the same unit for the same dates.

    Confirm and assign the driver

    Turn the hold into a confirmed booking and assign the driver. They see the job on their own account and get a push notification, with the reminder interval as tight as two hours on Pro and five minutes on Suite.

    Share a booking link so a coordinator on the client side can see the details without needing an account — available on every plan. Automated confirmation and reminder emails are a Suite feature.

Before you switch.

Can I assign a specific driver to each booking?
Yes. A booking holds an assigned driver, and drivers get their own login with a role scoped to the jobs they are on. Because drivers occupy staff seats, this needs a paid plan: Pro includes two seats, which in practice is one office staff member and one driver, and Suite makes seats unlimited. An operator with a real driver roster should plan on Suite.
Does Ogeeda handle corporate clients who pay after the trip?
Yes. Payment tracking includes an approval step, so a job can be completed with the balance still outstanding and marked settled when the transfer arrives. Customer profiles keep the history for accounts that book regularly. Invoice generation itself starts on the Pro plan.
Can I see whether a particular route or client is profitable?
You can get close. Expenses such as driver allowances, fuel, and tolls attach to the booking they belong to, and the custom report builder on Pro and Suite lets you build and save the breakdowns you want alongside the vehicle performance list. Route is not a built-in dimension, so grouping by client or by vehicle is the practical way to answer it.
We run vans out of two depots. Is that supported?
Yes. Garage management groups vehicles by the depot they are based at. The free plan covers one garage, Pro allows up to ten, and Suite is unlimited.
Can it connect to our existing systems?
On the Suite plan, yes. Suite includes a public API with scoped keys and booking webhooks, so you can check availability, generate quotes, create bookings, and push status changes into an accounting system or an internal tool. The API is not available on Starter or Pro.
